Allotments

You can manage allotments for companies, travel agents, tour operators and individuals. The rooms reserved within an allotment are taken out of the hotel’s availability and reduce the amount of vacancies in the forecasts. The allotment management also handles reservations of type 5 – group block. Compared to allotments, group blocks are one-off events over a shorter period.

A single allotment may contain several different contracts of room capacities and categories.

During the night run, the program release allotment checks if there are available rooms within the release period and reduces the scope of the allotment accordingly. I.e. if there are rooms not utilised within the release period, these will fall back into the hotel’s availability. The release type determines whether rooms are released by day or by contract.

Also during the night run, the program allotment occupancy provides a report to show if an allotment has not been fully utilised.

If allotment-overbookings are generally allowed, activate the registry key allow allotment overbooking [29131]. If the entry is not active, the number of contracted rooms can not be exceeded.

If overbookings are permitted, the registry key increase allotment automatically to accommodate higher reservation demand [5488] will automatically raise the number of rooms in the allotment to include the extra rooms.

The registry key automatically reduce allotment if reservation is cancelled [5810] determines whether cancelled rooms are returned into the allotment’s or the hotel’s availability.

You will be able to accept reservations before and after the actual contract period by entering a number of days under registry keys allotment tolerance before [5946] and allotment tolerance after [5947].

Activate registry-entry [9433] to define that rooms being released from an allotment reservation will reduce the scope of allotment, if cancelled within the release period.
