Primary Guest Data

Match code

Code for fast and easy identification of frequent guests/companies/agencies. Should be short and significant.

A sequential number is entered in this field if an internet password was generated automatically.

Title

Title, will be included on invoice, confirmation, mailings, etc. If title and salutation have the same code, SIHOT will change the salutation for individual guests automatically.

The title also determines the gender of the guest for police reports, etc.

The tiles can be configured to suit specific hotel requirements. Normally, the following titles would be used:

Guest type

Select the guest type. After creating a new profile, changes in guest type can only be made from Company to Agency and v.v. Other changes are not possible.

Last Name

Last name of the guest, client or company name. This field provides the text for searches (e.g. guest search). Also, the name will be included on invoice, confirmation, mailings, etc.

At properties with a MPE solution, name fields that are coloured green, indicate a central (synchronised) profile.

i TIP: use a line break ¶ to split up a long name in such a way that it will appear in orderly in two lines on invoices or confirmations.

E-mail

E-mail address, the ellipsis-button  next to the address opens a new e-mail with Microsoft Outlook. Also used to call up or search for a profile: Type the first few letters of the e-mail address in the e-mail field and choose the guest from a pop-up list of corresponding names.

Sales category

Client specific field to enter a sales category. See Sales Category.

Guest number

SIHOT assigns numbers for individual guests automatically. Numbers for companies and agencies may be entered manually. Once the profile has been stored, the number cannot be changed anymore.

Client number

This field is only used in connection with SIHOT.CM. It shows at which client (numer) the profile was created.

Title 2

Title such as Dr, PhD, Esq etc.

Salutation

Salutation in correspondence such as Dear Mr, Dear Mr & Mrs, Dear Family, etc.

Quality flag

This flag works in conjunction with registry key [6473], which – if activated – prompts a question upon check out, whether a questionnaire should be send to the guest by e-mail.

By default, this field is blank in new guest profiles and therefore, SIHOT will prompt the question. It should be changed to no, if the question is not to appear upon check-out.

Whichever way the question is answered upon check-out, this answer will be entered automatically in the guest profile. E.g. if the guest does not wish to receive a questionnaire, SIHOT will change the quality flag in the guest profile, so that the guest will not be asked the same question again.

Hotel specific VIP-codes

Country and Regions

Assumes the same country code as the field country above. Amend if applicable. Regions may be chosen as defined by the hotel (e.g. counties)

Language

Default as per hotel language. This field determines in which language the guest is addressed in wake-up call, on invoice, confirmation, etc.

Nationality

Nationality of the guest, required for police report.

Note

Short note regarding the guest/company – max. 20 characters

Address type

Choose between business and private address.

ID-number

Enter the number of passport, driving license, etc.

HQ-synchronisation

At properties with a MPE solution, this field determines if the profile should be synchronised.

Market segment

The market segment defines the statistical target market. Taken over in reservations as default. If client is not invoice holder, the market segment of the reservation is calculated in the statistics. The market segment of the profile is not considered in this case.

Rate segment

Rate segment to determine the rate within a package

Person type

Type of person (child, adult, etc). Taken over in reservations as default.

Discount group

Type of discount entitlement. Taken over in reservations as default.

Package code

Package the guest is normally booking.

Special meal requirement

Enter any special requirements as to which type of food the guest prefers.

Smoker

Indicate if the guest is a smoker or non-smoker.

Save contact data

If no, all contact details will be erased upon pressing the new or amend buttons. Also, it will not be possible to enter any contact details entered in a reservation for this guest. See also “Important Functions” - Saving Contact Data.

Family

If there are guest profiles for the family members of the guest, enter the kind of relation to the same.

Only if interface to Restaurant: limit per posting in hotel currency for the transmission from Restaurant cash register to guest account in SIHOT.

The amount entered can be used to carry out a credit check for high accounts.

Mail

Enter the type of communications the guest should receive. This field can be used as selection criteria for the mailing list in Sales & Marketing.

Guest rate type

This flag determines which rates are displayed in the rate information-dialog: after selecting a guest, SIHOT will display only those rates for which the guest is eligible, which depends on the guest rate type-definition in the package master file.

Automatic service

If an automatic service (e.g. city or tourist tax) has been defined in the registry, you can define whether the guest should be charged or not.

Delete

If yes, the profile will be erased during the next clearance of the data base. If no, the profile will be kept on record.

 

License plate number

License plate number of the guest’s car

Statistics

If yes, the guest data will be included in the Sales & Marketing statistics. If no, the Sales & Marketing statistics will not be affected. Statistical data for companies and agencies is evaluated regardless.

The flags activated here determine in which areas the profile shall be visible. This facilitates profile searches in a number of departments, which do not need access to each and every profile in the system. E.g. when working with Trust Accounting, it is not necessary to be able to see all the contacts of the Sales Department.
