Automatic E-Mails

To help with routine correspondence, SIHOT also produces automatic e-mails.

è EXAMPLE: For every rate change in a reservation, an e-mail is generated to confirm the change to the client.

Automatic e-mails always apply to every reservation and to every event chosen to offset an e-mail. Automatic e-mails are not intended for any specific reservations or guests. However, you can set an e-mail filter in the guest profiles (tab additional features).

To enter a new automatic e-mail, press the Ins-key, double click on an empty line or click on the plus-icon . Choose an event for which an e-mail should be generated. Add the text for the subject line in the column Re:. Select a recipient for the mail in the column addressee or enter a specific e-mail address in the column freely defined e-mail address. Choose a layout if applicable. Press the enter key to exit the edit-mode. Finally, add the text for the message body by clicking on the paper-icon  .

 

The definition in the column type relates to the e-mail filter in the guest profile (see Guest Profile - Additional Features).

When working with SIHOT.Event, you can also create automatic e-mails relating to a number of processes in event reservations.

 

i TIP: In order to avoid unnecessary or multiple e-mails, the System Administrator may in install a service which delays the sending of the e-mail by a set time interval (e.g. one hour). For instance, if amendments to the arrival date prompt an e-mail to the client and a user changes the arrival date several times during the processing of a reservation, then the client will receive only one e-mail concerning this amendment, based on the last change. (Registry [7190])

 

The sending of automatic e-mails is determined by two different sending rules:

 

3.   Combine and filter

E-mails with an outdated content (due to reservation changes that were made within a short period of time) will not be sent.

4.   Process individually

This option applies to e-mails that are offset by events of the type reservation type amended to … This rule ensures that an e-mail is sent for each of these events.
