Open allotment

If yes, the number of rooms must be 0. The allotment holder can then book as many rooms as available in the respective category. If no, the allotment is not open and contains a specific number of rooms as agreed.

Release in days

x days prior to arrival; marks the date when the non-used and still available rooms within the allotment are released and become part of the hotel’s general availability again. Rooms that have been explicitly reserved by the allotment holder remain unchanged.

Service

a)           Enter the service or package to be considered for calculating the revenue in the forecast. If the field manual is set no, the calculation will be based on the rates entered in the package master file. If the field manual is set to yes, enter the price in the column rate, which will then be the basis for the forecast calculation (as long as the definition of the package’s master file allows manual rates).

b)           You can also enter a service or package to be charged in case of non-used allotments (e.g. rooms that were booked within allotment and later cancelled within the release period). There must be an account number in the account-column to charge the unused allotments to. Also, the program charge unused allotments must be run as part of the night audit.

Released until

Rooms that were not taken up by definite reservations are going back into the hotel’s general availability during the release period, which is determined by the column release in days. This is an automatic process carried out by running the programs release allotment, release groups, release allotment-confirmed and release group block offer. Usually, these programs are included in the night audit. The date in this column shows until when the rooms have been released. I.e. during the period from now until this date, any rooms in the allotment or group that were not already reserved are no longer available within this contract.
