The tab Trails is displayed in the profile when clicking the button Show trails . In the trails, you can digitally store everything relating to the guest or company, including:
• appointments and activities
• documents created by SIHOT and spooled
• documents, PDFs and other files received or created outside SIHOT
• email messages (subject to Outlook-integration or SMTP-server connection)
• guest characteristics and marketing factors that can be used in the extended guest selection or that can be set via the extended guest selection (see section CRM - Extended guest selection)
• sales opportunities
When spooling documents, these are not only stored in the trails of the respective business object (reservation, event reservation), but also in the recipient’s guest profile.
To store files that were not created in SIHOT, suitable sub-branches must be established in the branch External attachments. You could, for example, use this branch to store birthday cards send by Guest Relations or signed and scanned contracts with companies, tour operators and travel agents.
TIP:
If maintained properly, the trails can
help you to drastically reduce the amount of printed paper in your office.
Using the guest characteristics, you can send targeted mailings to specific
groups of guests.
Ø Highlight the sub-branch of External attachments in which the file should appear.
Ø Click New attachment next to the listbox on the right hand side.
SIHOT opens a dialog box to select the file.
Ø Click Choose file next to the field File name to search for the file on your computer or network.
Ø Enter a name or description for the file in the field Text.
Ø Optionally, you can enter a comment and/or click Add appointment to create an activity to follow-up or action.
Ø Click Add to import the file.
Use the filter to restrict the data in the trails to a specific period and/or to see only activities that are not yet completed.
Although the activities are listed in the trails, you can call them up and edit them only in the sub-tab Activities.
